Data Protection
Your Data Stays Yours.
Isolated. In Region. By Role.
FormsPro keeps your records in a single-tenant environment, in the Microsoft Azure region you choose, with access set by role. Your field data does not share a database with anyone else’s.
Where your data lives
A boundary around everything you capture.
Every form, photo, signature, and report your teams submit stays inside an environment that belongs to your organization alone.
Your tenant sits in the Azure region you select, separate from every other customer. Inside it, permissions decide who sees which part of a record. When data needs to reach your ERP and FSM systems, it travels over native connections instead of through a third-party integration platform, so there is no extra vendor holding a copy along the way.
- Your tenantSingle-tenant, dedicated to your organization
- Your regionStored in the Microsoft Azure region you select
- Your rolesEach person sees only what their role allows
- Native connectionsTo your ERP and FSM systems, with no middleware
- Secure devicesOnly security-supported iOS and Android versions
The gap
Field data ends up in more places than anyone planned.
A form submitted on site rarely stays in one place. It gets exported, forwarded, synced through middleware, and stored on shared infrastructure.
Each of those hops is another environment your security team has to trust and another copy that outlives its purpose. On shared platforms, your records sit in the same database as other companies’ records, and the hosting region is whatever the vendor picked. When a security questionnaire asks where the data lives and who can reach it, the honest answer is often a list.
What you get
How does FormsPro protect your data?
Single-tenant by design
Your environment is dedicated to your organization. Records are not pooled with other customers’ data, so another tenant’s activity never touches yours.
Data residency you control
Choose the Azure hosting region that fits your sovereignty and compliance requirements. Your forms and records are stored where you decide.
Access set by role
Each person sees the part of a record their role allows. Finance sees costs, a customer sees their own report, and nobody is handed data they should not hold.
Fewer hands on the data
Native connections to your ERP and FSM systems remove the middleware vendor from the chain, along with the extra copy of your data it would hold.
Secure devices only
The FormsPro app runs only on iOS and Android versions that still receive security support, so field data is never captured on an operating system that has stopped getting patches.
Identity tied to your directory
With SCIM provisioning, FormsPro access follows your identity provider. When someone leaves, their access goes with them.
Use case in focus
An energy company’s security team sends every new software vendor the same long questionnaire. Most vendors take weeks to answer it, and the answers come with caveats.
Every question in the security review has a direct answer.
The company’s previous mobile forms vendor answered “shared infrastructure” to the tenancy question and “varies” to the region question, and field reports passed through a separate integration service nobody on the security team had reviewed.
Where is the data stored?
In the Azure region the company selected.
Who else shares the environment?
No one. The environment is single-tenant.
Who can see each record?
Each user, by role, through permissions the company sets.
Which devices capture the data?
Only iOS and Android versions that are still security supported.
Does integration pass data through a third party?
No. Connections to the ERP and FSM systems are native.
Isolated by tenant. Stored by region. Seen by role.

Common questions
FormsPro data protection FAQ
Where does FormsPro store my data?
In a single-tenant FormsPro environment hosted on Microsoft Azure, in the region you select. Your forms, records, photos, and reports stay in that environment.
Is my data shared with other customers?
No. Each customer has a dedicated, single-tenant environment. Your records are not stored in a shared database with other organizations’ data.
Does integration send my data through a third party?
No. FormsPro connects to your ERP and FSM systems natively, so integration does not route your data through a third-party integration platform. Data moves between FormsPro and your systems from inside your single-tenant environment.
Can you control who sees which data?
Yes. Permissions are applied by role, so each person sees only the part of a record their role allows, such as costs for finance or a single report for a customer.
Which mobile operating systems does FormsPro support?
FormsPro supports the iOS and Android versions that still receive security updates from Apple and Google. Support is updated with each release, and the app does not run on versions that are no longer security supported.
What happens to access when an employee leaves?
With SCIM provisioning, FormsPro access follows your identity provider. When a user is removed there, their FormsPro access is removed too, without anyone having to remember to do it by hand.
